Application terms and conditions
Last updated 9th October 2026
By applying for an Afield grant, you are agreeing to these terms and conditions, which cover your application for grant funding from Afield Environmental.
1. About Afield
Afield Environmental (“Afield”) is a charity registered with the UK Charity Commission, registration number 1213914. In these terms and conditions, Afield is referred to using the words “we”, “us” and “our”.
2. Who can apply
Applications are open to UK residents. Additional detailed eligibility and selection criteria are published as part of each open call on the Afield website at www.afield.org.uk.
In these terms and conditions, we refer to applicants using the words “you” and “your”.
Applications are generally not accepted from organisations (although you may apply if you are an individual associated with an organisation).
3. Your application
a. Your application must be received in English, and it must set out a project proposal (the “Project”).
b. Eligibility criteria will be published for each open call.
c. For some open calls, you may be able to submit your application via audio or video as an alternative: details will be provided on the open call page of our website.
d. Applications will be assessed and accepted or rejected at our sole discretion.
e. If we believe, at our sole discretion, that your application has been wholly or substantially written by AI, then we may decide to exclude your application from the selection process.
f. If your application is received after the published closing date, it will not be considered.
g. Your application must not infringe the intellectual property rights of any other person or entity.
h. We are not liable for any third-party claims for infringement of third-party intellectual property rights subsisting within the idea you submitted as part of your application.
i. If for any reason your application is accidentally deleted, lost, or otherwise destroyed or corrupted, you may request the opportunity to resubmit. This request will be decided at our sole discretion, if the call for applications is still open.
j. We are not responsible for incomplete, late, misdirected, damaged, lost, illegible or incomprehensible applications, or for your address or email address changes. Proof of submitting an application does not equal proof of receipt by Afield.
4. The selection process
a. The selection process for each open call will be based on a set of selection criteria, which we will publish selection on the open call page of our website.
b. The section process is made up of:
- A long-listing stage, where a randomised selection of applications will be made to create a long list.
- A short-listing stage, which will be conducted by an internal panel based on the published eligibility and selection criteria. The number of shortlisted applications may vary from open call to open call (and will be published as part of the open call guidelines). We will provide written feedback to you if your application is longlisted but not shortlisted.
- A selection stage, which may include a short interview either online or in person, or sending in a video. A panel containing at least one external expert and Afield staff or trustees will decide on a proposed list of successful applicants. We will provide written feedback to you if your application is shortlisted but not selected.
- The Afield board of trustees will approve the final selection of successful applicants.
c. Following board approval, successful applicants will be sent an indicative offer via email. The offer will be subject to due diligence.
5. Due diligence
a. We will conduct a series of due diligence checks on all the successful applicants, which may include anti-money laundering checks, a search of the UK Sanctions List, and phone calls or email correspondence with referees. In order to complete these checks, further information may be required from you. These checks are required by law.
b. If the due diligence checks reveal any information that makes the grant unlawful or, in our sole opinion, changes our selection decision, then we will notify you and the indicative offer will become void.
6. General terms
a. By submitting an application, you agree to:
- comply with these terms and conditions and accept selection decisions that we make, which are binding and final in all matters relating to Afield’s funding; and
- indemnify, defend and hold us harmless from and against any and all claims, expenses, and liabilities (including legal fees) resulting from any breach of these terms and conditions by you.
b. We reserve the right to cancel, suspend and/or modify any fund, or any part of it, if any fraud, technical failure or any other unanticipated factor, or factor beyond our control, impairs the integrity or proper functioning of the fund.
c. Our failure to enforce any provision of these terms and conditions does not mean that provision is waived.
d. In the event of any discrepancy or inconsistency between any provisions of these terms and conditions and disclosures or other statements contained in any fund materials, including, but not limited to, the application form, website, advertising (including, but not limited to, television, print, radio or online ads}, these terms and conditions have greater authority.
e. We can amend these terms and conditions at any time. In such an event, we will post the amended terms and conditions on its website, and contact you if you have already made an application for a currently open call. Any amendment will become effective at the time we post the amended terms and conditions on its website.
f. Should any provision of these terms and conditions be, or become, illegal or unenforceable, such illegality or unenforceability will leave the remainder of these terms and conditions unaffected and valid. The illegal or unenforceable provision will be replaced by a valid and enforceable provision that comes closest and best reflects our intention in a legal and enforceable manner with respect to the invalid or unenforceable provision.
7. Privacy
a. Any personal information collected from you when making an application is subject to the privacy policy which can be found here.
8. Law and Jurisdiction
a. These terms and conditions (including any associated non-contractual disputes or claims) are governed by UK law and where applicable English and Welsh law, Northern Irish law and Scottish law, and by agreeing to these terms and conditions you accept the exclusive jurisdiction of the English courts in relation to any dispute arising under or in connection with these terms and conditions.
